How Far in Advance Should I Order Cupcakes?

So, how far in advance should you order cupcakes? At Sugar Mama’s, we generally recommend:
Menu cupcakes: 2–4 days
Custom celebration cupcakes: 1–2 weeks
Corporate or branded cupcakes: At least 2 weeks
Large orders: Ideally 4+ weeks
Our cupcakes are made to order in small batches here in Stockholm, so ordering early gives you the best chance of getting exactly what you want.
More importantly? It gives you peace of mind.
Once your order is booked, you know a professional is taking care of it and that's one more thing you can happily cross off your list.
Why is it better to order cupcakes early?
Mostly, peace of mind.
Once your order is confirmed, you don't have to spend the week before your event wondering who can still fit you in, whether you'll get the design you wanted or how you're going to get 100 cupcakes to the venue.
For custom orders, booking early also gives us time to source special decorations, prepare edible artwork, develop colours and work through your ideas with you without rushing.
And if you're not quite sure what you need yet? That's okay. Part of our job is helping you figure it out.
Do I need to know exactly what I want before contacting you?
Of course not!.
If you know your date and roughly what you're planning, that's enough to start the conversation.
Perhaps you're organizing a company event for 150 people but don't know how many cupcakes to order. Maybe you're planning a birthday but haven't settled on a design. Or perhaps you know you want branded cupcakes but aren't sure what can actually be customized.
We'll help you work through quantities, flavours and designs, and give you our recommendations based on your event, budget and timeline.
If I order cupcakes weeks ahead, will they still be fresh?
Yes, because booking early doesn't mean baking early.
You might secure your date weeks or even months ahead, but the cupcakes themselves are baked as close to pickup or delivery as possible.
For a Saturday event, for example, we might bake Friday evening for a Saturday morning pickup or Saturday morning for an afternoon event. We decorate close to collection or delivery too.
Other elements, such as fillings, buttercream and custom decorations, can be prepared at the appropriate time beforehand.
Our goal with this is simple: when you receive your cupcakes, they're fresh and ready to enjoy!
How far in advance should I order custom cupcakes?
For custom celebration cupcakes, we recommend 1–2 weeks' notice.
Unlike our regular menu, where the flavours and designs have already been developed, custom cupcakes begin with your idea.
We may need to source a particular decoration, create edible toppers, develop a colour palette or figure out how to turn your theme into something that works beautifully on a cupcake.
The more custom elements involved, the more planning happens before we ever turn the oven on.
Giving us enough time means we can concentrate on getting those details right, which is precisely what you're hiring us to do.
How far in advance should I order corporate or branded cupcakes?
For corporate and branded cupcakes, we recommend contacting us at least two weeks before your event.
For particularly large or detailed corporate orders, around four weeks is even better.
Corporate cupcakes can involve edible logo toppers, test prints, custom brand colours, special packaging and delivery coordination.
If you're planning a corporate event in Stockholm several months from now, you're more than welcome to get in touch early. You don't need to have the final quantity, flavours and artwork figured out immediately., as we’re happy to help you work through those details with you.
Getting the date booked simply means you can move “cupcakes” from the need to sort this out column to the done column. A very satisfying column, if you ask us!
How do I secure my cupcake order?
Your order is officially booked once we've agreed on the order and received your 50% deposit. This applies to both menu and custom orders.
An enquiry alone doesn't reserve the date, so if you can, we recommend confirming your booking once you're happy to go ahead.
Then you can leave the cupcake planning to us.
Can I order cupcakes at the last minute?
Sometimes!
If you're looking for something from our regular menu, get in touch and we'll check whether we can fit your order into our production schedule.
For next-day custom orders, we may still be able to help. If we can accommodate the order, a 1,000 SEK rush fee applies.
Because the turnaround is so short, we can't guarantee that every custom decoration, topper, ingredient or design element will be available. We'll always be upfront about what's realistic and help you find the best option within the time available.
But if it's urgent, send us an email with “URGENT” in your enquiry subject line and we'll try our best to help.
Should I order earlier for holidays and busy periods?
Short answer: Yes.
Our calendar can fill more quickly around popular celebration periods such as Valentine's Day, Easter, Midsummer and Christmas, as well as busy corporate-event periods.
Large orders also benefit from more planning time. If your event date is set, booking early gives you the best chance of getting the date, design and order you want.
What happens after I place my cupcake order?
This is where you get to cross this off your to-do list.
Once we’ve worked through the details with you, we'll plan production, source what we need and keep you informed along the way.
Then we'll bake and decorate your cupcakes as close to your event as possible, package everything carefully and get them ready for you. For deliveries, we'll confirm the details with you before your event so you know when and where to expect us.
That's what makes our service so personalized.
It's not simply handing you a box of cupcakes. It's making the cupcakes one of the things on your list that you don't have to worry about anymore.
