How many Cupcakes Do I Need?

Planning an event is exciting. Figuring out exactly how much dessert to order? Maybe slightly less so.

So, how many cupcakes do you need per person?

At Sugar Mama's, we usually start with one question:

Are the cupcakes your main dessert, or are they being served alongside something else?

From there, the numbers become much easier.

 

How many cupcakes do I need per person?

If cupcakes are the main dessert, we recommend:

  • Standard cupcakes: Around 1 per guest

  • Mini cupcakes: Around 1–2 per guest

If you're serving cupcakes alongside cake or other desserts:

  • Mini cupcakes: Around 1 per guest is a good starting point

And if you'd like guests to have seconds or take one home? Add a small buffer.

That's really the basic formula.

Should I order exactly one cupcake per person?

If standard cupcakes are your main dessert, one cupcake per guest is usually plenty.

So if you're expecting 50 guests, we'd start at around 50 cupcakes.

You don't need to over-order "just in case." A small buffer can be useful if your final guest count isn't certain or you'd like people to have the option of taking one home, but 100 guests don't automatically need 120 cupcakes.

For corporate orders with a confirmed headcount, we're also perfectly happy to work with the quantity you actually need.

The goal is to have enough for everyone, not to leave you wondering what on earth you're going to do with 40 leftover cupcakes. Although, admittedly, there are worse problems!

 

Should I choose standard or mini cupcakes?

This mostly comes down to how dessert fits into your event.

Standard cupcakes:

If cupcakes are the dessert, we'd usually recommend standard-sized cupcakes.

Each guest gets their own complete dessert, and there's no need to calculate multiple little portions per person.

Tip: Standard cupcakes work particularly well for birthdays, baby showers, family celebrations, office fika and events where people are intentionally stopping for dessert.

Mini cupcakes:

Minis are brilliant when you want something a little lighter. They're easy to pick up while mingling and don't require much commitment.

Tip: Mini cupcakes work particularly well for conferences, networking events, product launches, cocktail-style events and dessert tables.

If minis are the main sweet you're serving, we'd generally suggest 1–2 per guest.

If they're sitting alongside a cake, pastries or other desserts, around one per guest is usually a sensible place to start.

 

How many cupcakes do I need if I'm serving other desserts?

If there's a wedding cake, macarons, cookies, pastries or an entire dessert table competing for everyone's attention, you can usually order fewer cupcakes.

Not every guest is going to eat a full cupcake and everything else on offer. This is where minis can be particularly useful.

They give guests the chance to have a little something without committing to another full dessert, and they look pretty great arranged as part of a larger dessert table.

 

Should I order extra cupcakes?

We like a small buffer, not an enormous one.

A few extras are useful if your guest count might change, someone decides they want seconds or a guest wants to take one home for their partner or child.

For a party of 20, for example, ordering 24 can make perfect sense. For 100 confirmed corporate guests, however, 100 or a nearby practical quantity can be perfectly reasonable.

A few extras? Great!

How many cupcake flavours should I choose?

More isn't always better. Too many flavours can make ordering more complicated and leave you trying to predict exactly which flavour every guest will choose.

We generally recommend:

  • 12–48 cupcakes: 1–2 flavours

  • 50+ cupcakes: 2–3 flavours

For larger groups, vanilla, chocolate and lemon are some of our favourite crowd-pleasers.

If you're choosing more than one flavour, guests may naturally want to try different options — which is another reason minis can work so well when variety is part of the experience.

 

How many cupcakes do I need for a corporate event?

The same basic rules apply, but how your guests will be eating matters.

For an office fika or company celebration where cupcakes are the main sweet, one standard cupcake per person is a straightforward choice.

For conferences, networking events, trade shows and product launches, we often recommend mini cupcakes instead. They're easy to grab while standing or talking and give guests something sweet without requiring them to sit down for dessert.

Depending on what else is being served, around 1–2 minis per guest is a useful starting point.

And if you'd like the cupcakes to become part of the event itself, they can also be customized with brand-colour buttercream, edible logos, images, messages and even QR codes.

What if I don't know my final guest count yet?

You don't need an exact number before contacting us. An estimated guest count is enough to start planning.

Tell us roughly how many people you're expecting, whether cupcakes will be your main dessert and what else you're planning to serve. From there, we can recommend a quantity and cupcake size that makes sense.

That's part of the service.

You really don’t need a spreadsheet and a minor qualification in catering mathematics just to order dessert!

 

How far in advance should I order cupcakes?

For cupcakes from our regular menu, we generally recommend 2–4 days' notice.

For custom celebrations, allow 1–2 weeks.

For corporate, branded and larger orders, we recommend getting in touch at least two weeks in advance, and preferably earlier for particularly large or detailed orders.

Booking ahead also means one more thing crossed off your event to-do list — while your cupcakes themselves can still be baked as close to your event as possible.
